Terms and Conditions for Eco Fashion & Textiles Week (“EFTW”)

These Terms and Conditions govern participation in Eco Fashion & Textiles Week (“EFTW”). By enrolling in EFTW, parents/guardians and participants (“you” or “your”) agree to abide by these terms.

 

1. General Information

EFTW is organised by the Jersey College for Girls Foundation (“the Foundation”, “we”, “us” or “our”) and aims to provide a high-quality, safe, supportive and enjoyable environment where children can learn, create and participate in activities.

The Foundation will promote appropriate standards of behaviour, discipline and hygiene. By enrolling in EFTW, you agree to adhere to all rules, policies and procedures outlined in these Terms and Conditions and communicated during the programme.

 

2. Code of Conduct

You agree that your child will:

  • Be signed in and out each day at JCG Reception by a parent/guardian or authorised adult

  • Be collected on time at the end of each day

Late collection will incur a charge of £10 per quarter hour (or part thereof) during which your child remains in our care after the programme finishes. Persistent lateness may result in the place being withdrawn.

In addition, you agree to:

  • Notify us as soon as reasonably practicable if your child is not going to attend

  • Not bring your child to EFTW if they are unwell

  • Inform the Foundation immediately in writing of any changes in contact details, family situations, court orders or safeguarding risks relating to your child

  • Ensure that your child treats other children, staff and property with respect and follows instructions given by staff

  • Ensure that your child refrains from bullying, harassment, or inappropriate or rude behaviour

  • Encourage and support good behaviour during attendance

·       You accept that the Foundation cannot be held responsible for damage to or loss of clothing or personal belongings brought to EFTW.

Breach of Code of Conduct

Any breach of this Code may result in:

  • A warning issued to you and/or your child; and/or

  • Immediate removal from the programme, at our sole discretion, where your child’s continued attendance is not compatible with the safety or interests of the programme

Where removal occurs due to behaviour, no refund will be given.

 

3. Payment of Fees

All fees must be paid in full prior to the start date of EFTW and in accordance with Clause 4.

  • Fees include course delivery and snacks (where specified)

  • A packed lunch must be provided from home for each full day of attendance

  • The Foundation does not provide lunch unless explicitly stated in programme information

For international students:

  • Flights, insurance (medical and otherwise), visas and any additional requirements remain the responsibility of the parent/guardian

No refund will be provided for:

  • Sessions only partially attended

  • Late arrival or early collection (including where food is missed)

  • Absence due to illness

 

4. Cancellation and Refund Policy

If you cancel your booking, the following refund policy applies:

  • More than 30 days before the start date: 90% refund

  • Between 15 and 30 days before the start date: 50% refund

  • Less than 15 days before the start date: No refund

No refund will be given if your child is removed from EFTW due to:

  • Breach of the Code of Conduct; or

  • Failure to comply with these Terms and Conditions

You remain liable for any costs incurred where removal results in early departure arrangements.

 

5. Visa and Travel Responsibilities (International Participants)

Parents/guardians of international participants are responsible for obtaining all necessary:

  • Visas

  • Travel documentation

Programme fees do not include visa costs or related expenses.

If a visa application is unsuccessful, refund requests will be considered in accordance with Clause 4 only.

We recommend that appropriate travel insurance is obtained.

Note: This clause may be removed or adapted where international participation is not applicable.

 

6. Health and Safety

You authorise the Foundation to take all reasonable action necessary to safeguard and promote your child’s welfare.

You must:

  • Disclose any medical conditions, allergies or special requirements during registration or as soon as they arise

  • Inform us if your child has been in contact with any infectious disease

  • Comply with relevant Health and Social Services exclusion guidance

All required medication must be supplied with clear written instructions.

Your child must not attend if unwell. Absences due to illness are non-refundable.

In the event of a medical emergency:

  • We will make reasonable efforts to contact parents/guardians

  • Where contact cannot be made, we are authorised to seek necessary medical treatment

All incidents will be recorded in an accident log and reported to parents/guardians.

The Foundation operates a zero-tolerance approach to behaviour that risks the safety of others.

We will operate on a “need to know” basis for sharing sensitive safeguarding information with staff.

The Foundation is committed to equality and inclusion and will take reasonable steps to accommodate children with additional needs in line with Jersey legislation.

 

7. Liability

We take reasonable precautions to ensure participant safety but cannot be held liable for:

  • Accidents or injuries

  • Loss, theft or damage to personal belongings

unless caused by proven negligence on our part.

Participants are advised not to bring valuable items.

The Foundation maintains appropriate insurance in accordance with legal requirements.

Staff have a duty to report safeguarding concerns to Social Services where necessary.

 

8. Use of Images and Media

By enrolling in EFTW and completing the registration process, you consent to:

  • The use of photographs or videos of participants for promotional and educational purposes

as outlined in the relevant registration form.

If you do not wish your child’s image to be used, you must:

  • Indicate this clearly within the registration form

 

9. Data Protection

We process personal data in accordance with applicable data protection laws.

Information is collected solely for the purposes of:

  • Administering EFTW

  • Ensuring participant safety and welfare

  • Communicating with parents/guardians

Data will not be shared with third parties except where required by law or where necessary to deliver the programme.

 

10. Governing Law

These Terms and Conditions are governed by the laws of Jersey.

 

11. Acknowledgement

By enrolling your child in EFTW, you confirm that you have read, understood and agree to these Terms and Conditions.
