Head of Chemistry

Jersey College for Girls is looking to appoint an enthusiastic and dynamic Head of Chemistry.

Polyphony Administrator

Responsible to: The JCGF Director who may delegate certain responsibilities to the JCG Head of Music
Remuneration £15.00 per hour
Hours: 15 hours a week during term time
Duration: 12 months

Job Purpose 

The Polyphony Administrator will provide organisational and administrative support to ensure the smooth day to day operations of the Polyphony offering at JCG. 


The specific responsibilities will include: 

  • General Administration
    • individual and group lessons 
    • organise and coordinate room bookings for rehearsals and lessons 
    • be the point of contact for Polyphony Visiting Music Teachers
    • allocate lessons to an appropriate teacher 
    • create and maintain music room booking sheets 
    • arrange, distribute and display timetables 
    • administer absence from lessons 
  • ensure a daily list of absentees available
  • follow-up absences from lessons 
  • ensure written notification is received when a pupil wishes to discontinue lessons

 

  • Administration of External Examinations 
    • organise and oversee practical and theory examinations including entries, rehearsals and schedules
    • enter students for Associated Board, Trinity and Guildhall exams in consultation with the Visiting Music Teachers and parents 
    • draw up a timetable for each day of the examinations and inform pupils and Visiting Music Teachers o arrange accompanists for pupils as required
    • liaise directly with the external examiners 
    • organise and book examination rooms, practice rooms and any moving of instruments 
    • disseminate results to the appropriate teacher o collate certificates to be presented 
    • compile a summary of results


  • Music Instruments 
  • Maintain asset register
  • Hire – manage paperwork and advise accounts function 
  • Monitor the maintenance and repair as necessary


  • Liaison between parents, students and teachers
  • deal confidentially and efficiently with any pupil and parent queries in relation to music lessons, trips, events, exams, etc.


  • Maintain Polyphony lesson sales section on the website 
  • Assist the Foundation accountant with bookkeeping information


Other Duties 

  • Any other ad-hoc duties as requested by the Director 
  • All staff have a responsibility and duty of care to safeguard and promote the welfare of pupils. Staff must be aware of the systems within the College which support safeguarding and must act in accordance with the College’s Safeguarding & Child Protection policy and Code of Conduct. Staff will receive appropriate child protection training which is regularly updated.

The successful candidate will demonstrate the following skills, qualifications and experience: 

A personable, self-motivated, ‘can-do’ approach with a genuine willingness to contribute and go the extra mile

Excellent organisational skills – able to handle varied workload and prioritise tasks 

First-class communication skills – able to communicate with large numbers of people on daily basis 

IT skills – comfortable with Microsoft Office 

Experience working in an office administration or Secretarial role 

Approachable, professional manner 

Excellent attention to detail 

Happy to work both independently and as part of a team 

Flexible and reliable 

A willingness to assist and deal confidently and patiently with pupil, parent and staff enquiries
